How to Create and Manage Gift Certificates

Overview
Gift certificates are excellent promotional documents that can be used as rain checks, mini-awards, runner-up prizes, or warranties. Instead of buying predesigned gift certificates, you can easily create your own using a simple word processing program, and you can manage them in file folders on your computer.

Step 1
Turn on the computer and load Microsoft Word 2003. Go to "File Menu" and choose "New" to pull up a blank page.

Go to "File Menu," choose "Page Setup," and click on "Margins" tab to change all margins to .65 inches.

Click on "Table" from the "Menu" bar. Click "Insert" and choose "Table."

At the "Insert Table" dialog box select two columns and one row. Click "OK."

Place the insertion point in the first cell, click "Table," choose "Table Properties," choose the "Row" tab and type 2.65 inches at the "specify height" text box. Choose the "Column" tab and type 4.75 inches for the "preferred width" for column one and type 2.25 inches for the "preferred width" for column two. Click "OK."

Type your text and include graphics for your first cell.

Once the first certificate is created, click to the right of it and choose "Copy." Paste the copied information to the remaining cells.

Go to "File," choose "Save As." Create a file name for the certificate and choose "Save As Type" near the bottom of the "Save As" dialog box. Choose "Document Template." Click "Save."

After the gift certificate is saved as a document template, you can edit pre-existing information and replace with new information to create new gift certificates. Save each new gift certificate with a new name to prevent overwriting the original.

Manage different gift certificates by placing in separate file folders you create under "My Documents" on the computer. Give each file folder a descriptive name, which allows you to quickly retrieve a gift certificate to meet the occasion of your choice.

Insert card stock paper into the printer to print your gift certificates.
